Note: In case of doubt, the German version of these Terms and Conditions shall prevail.

1. Scope

These Terms and Conditions apply to all vendors, exhibitors and other participants of Barrio Fiesta 2026 organized by the event organizer.

By registering, booking or using a stand space, the stand operator accepts these Terms and Conditions as binding.

2. Registration and Stand Allocation

Stand spaces are allocated exclusively by the organizer.

There is no entitlement to a specific stand space or placement.

The organizer is entitled to reject registrations without stating reasons.

The transfer, subletting or provision of the stand space to third parties is prohibited without the express written consent of the organizer.

3. Stand Fees

For registrations received up to and including 19 June 2026, the stand fee is EUR 100.00 per started running meter.

From 20 June 2026 onwards, the stand fee is EUR 150.00 per started running meter.

The date on which the registration is received by the organizer is decisive for calculating the applicable stand fee.

The minimum booking is 1 meter.

If a tent is used, the longest side of the tent is used as the basis for calculating the stand space.

Water and electricity costs are not included in the stand fee.

Waste disposal costs may be booked separately.

The stand fee must be paid in full no later than the start of the event. Payment may be made on site.

Fees and deposits already paid are generally not refunded in the event of non-attendance or cancellation by the stand operator.

The organizer does not guarantee any specific visitor numbers, sales or economic success.

4. Permitted Goods and Services

The sale and presentation of goods or services is permitted only within the legally allowed framework.

In particular, the following are prohibited:

  • any sale of beverages,
  • weapons and dangerous objects,
  • illegal or counterfeit goods,
  • media harmful to minors,
  • pornographic content,
  • live animals,
  • medicines or prescription products.

No beverages of any kind may be sold, served or distributed free of charge unless expressly approved in writing by the organizer.

The organizer is entitled to exclude prohibited goods from sale at any time.

5. Food and Hygiene Regulations

Stand operators offering, processing or selling food are solely responsible for complying with all food law, hygiene and official regulations.

This includes in particular compliance with the Infection Protection Act, the Food Hygiene Regulation (LMHV) and all HACCP requirements.

The organizer assumes no liability for violations of food or hygiene regulations.

6. Conduct on the Event Grounds

Each stand operator undertakes to behave properly, safely and considerately.

In particular, the following are prohibited:

  • blocking rescue and escape routes,
  • excessive noise disturbance,
  • aggressive sales practices,
  • harassment of other participants or visitors,
  • leaving behind waste or contamination.

The stand space must be left clean and orderly.

7. Setup and Dismantling

Setup times end no later than 10:00 a.m.

Dismantling may only begin after the end of the event and must be fully completed no later than 7:00 p.m.

Early dismantling during the ongoing event is permitted only with the express consent of the organizer.

In the event of delays of more than 30 minutes, the deposited security deposit may be retained in full.

8. Equipment Safety

Electrical installations, cables, devices and gas-operated equipment must comply with the applicable legal safety regulations.

Cable reels and electrical devices may only be used if they comply with legal safety requirements.

The organizer does not provide any power connection.

The organizer is entitled to exclude unsafe or improper installations and devices from operation.

9. Liability

Participation is at the participant’s own risk.

The organizer is liable only in cases of intent or gross negligence.

In cases of ordinary negligence, the organizer is liable only for the breach of essential contractual obligations and limited to the foreseeable, typical contractual damage.

In particular, the organizer assumes no liability for:

  • theft,
  • loss of or damage to goods,
  • weather-related damage,
  • damage caused by other participants or visitors,
  • loss of sales or lost profits.

The stand operator is liable for all damage caused by them, their employees, helpers or equipment used.

10. Right of Admission and Instructions

The organizer exercises the right of admission and instructions throughout the entire event grounds.

The instructions of the organizer, security personnel and appointed helpers must be followed at all times.

In the event of violations of these Terms and Conditions or legal regulations, immediate exclusion from the event may occur.

In this case, there is no entitlement to a refund of fees already paid.

11. Cancellation or Termination of the Event

The organizer reserves the right to cancel, postpone or terminate the event for important reasons, in particular due to force majeure, severe weather, official orders or safety reasons.

In this case, there is only an entitlement to a refund of stand fees and deposits already paid.

Further claims are excluded.

12. Data Protection and Promotional Use

Personal data of stand operators will be processed exclusively for the implementation and organization of the event.

The organizer is entitled to use the name of the stand or company as well as provided logos, images and promotional materials for promotional purposes in connection with the event.

This includes in particular publications:

  • on the website,
  • on social media,
  • in press releases,
  • in print and online advertising,
  • in other promotional and informational materials.

Photo and video recordings may be made during the event. These may be used and published by the organizer for documentation and promotional purposes.

13. Security Deposit

The security deposit is EUR 250.00 per stand.

A stand reservation becomes binding only after full receipt of the deposit and express confirmation by the organizer.

The deposit serves in particular to secure against:

  • damage to event areas or equipment,
  • contamination,
  • improper waste disposal,
  • violations of setup and dismantling obligations,
  • unreturned passes, cards or borrowed items.

The deposit will be refunded after proper handover of the stand space.

The organizer is entitled to offset incurred damage or costs against the deposit.

Costs or damage exceeding the deposit amount will be charged separately to the stand operator.

14. Obligation to Provide a Fire Extinguisher

When using cooking, grilling, heating, gas or electrical appliances, at least one suitable and functional fire extinguisher must be available at the stand.

For safety reasons, the organizer is entitled to exclude stand operators without an appropriate fire extinguisher from operation.

In this case, fees already paid will not be refunded.

15. Waste Disposal and Cleanliness

Each stand operator is obliged to dispose of their waste properly and leave the stand space clean.

Waste must generally be taken away by the stand operator unless a waste container has been booked.

A 1 m³ waste container can be booked at a price of EUR 200.00.

The container may be shared with other stands.

Charcoal, ash and hot or glowing materials must be fully extinguished and disposed of separately.

Disposal in normal waste bins or on the event grounds is prohibited.

In addition, each stand operator is obliged to provide a sufficiently large and clearly visible waste bin for customers at or in front of the stand.

The area around the stand must be kept clean throughout the entire event.

In the event of violations of waste disposal and cleaning obligations, the organizer reserves the right to charge cleaning and disposal costs separately.

16. Music and Sound Systems

Playing music at individual stands is generally prohibited.

Own loudspeakers, music systems or other sound systems may only be used with the express written permission of the organizer.

In the event of violations, a contractual penalty of EUR 400.00 will become due.

The assertion of further claims for damages remains unaffected.

17. Grilling, Cooking and Frying Activities

Grilling, cooking and frying activities are permitted only within the designated and approved stand spaces.

Cooking, grilling or frying directly in front of customers or in visitor pathways is prohibited.

Open fireplaces as well as gas- or electrically operated cooking appliances must be operated properly and adequately secured.

A fireproof and oil-impermeable protective underlay must be placed under frying appliances.

Combustible materials such as cardboard or fabric are not permitted as underlay.

Leaking grease or oil must be removed immediately.

Any resulting damage or contamination will be charged to the stand operator.

The stand operator is solely responsible for complying with all safety, hygiene and fire protection regulations.

18. Official Requirements

The stand operator undertakes to comply independently with all official requirements and legal regulations.

This includes in particular regulations relating to:

  • health law,
  • food law,
  • hygiene and infection protection,
  • fire and occupational safety,
  • protection of minors.

The organizer assumes no liability for violations of legal regulations by the stand operator.

19. Final Provisions

If any provision of these Terms and Conditions is or becomes invalid in whole or in part, the validity of the remaining provisions remains unaffected.

The statutory provision shall apply in place of the invalid provision.

German law applies.

The place of jurisdiction is Hanau, to the extent legally permissible.
